Connecting SAP HCM to Workday: Standardising HR Processes

Initial Situation
A large customer with branches in multiple countries aimed to implement the cloud-based HR software Workday. However, the significantly simplified and less differentiated HR data management processes led to issues. German labour law requirements in the HR sector could not be fully mapped in Workday. As a result, Workday was used for employee data, while payroll and time tracking remained in SAP HCM.
Requirement
A solution was needed for an interface enabling data replication between Workday, as the leading HCM system, and the existing SAP landscape.
Solution
By leveraging Workday’s web service-based API, the j&s-soft project team, in close collaboration with the customer’s HR IT department, was able to establish data replication between the SAP system and Workday.
Process-based data changes in Workday can be retrieved and transferred to the SAP system for storage and to trigger subsequent processes. All employee data is managed in Workday, while payroll and time tracking continue to be handled in SAP.
Additionally, data that Workday does not propagate as events can be replicated from Workday to SAP using a data-driven delta comparison.
As a bidirectional interface, certain data can also be replicated back to Workday. The transfer of data from SAP to Workday is triggered by infotype changes or custom ABAP reports.
